Project Contract Coordinator

    SUMMARY

The Project Contract Coordinator reports to the Project Controls Manager. Responsibilities include following and enforcing the client’s procurement policies and procedures, reviewing, comparing, analyzing proposals received from vendors; coordinate and collaborate with Construction Services Staff, M/WBE staff, Program Management staff, and other Project Management Firms; and act as a primary interface with our client for contractual issues.

   RESPONSIBILITIES

    • Process standard contract documents for new business and/or changes to existing contracts to ensure compliance with all proposal requirements.
    • Provide upper management and integrated project team members with contract status including contract deliveries, and contract.
    • Preparation of Assignment of Work and/or Statement of Work based on proposals received from vendors, and review proposals for compliance.
    • Preparation and review for compliance of Architectural Additional Services form for purchase orders.
    • Participate in contract preparation, contract closeouts, and customer contract activities to manage assigned contracts in accordance with company policies, legal requirements, and customer specifications.
    • Review work requirements and work with Project Managers and/or the client, providing administrative support for the vendor selection process in advertising for request for proposals, gather submittals, schedule selection team meetings, schedule and conduct pre-proposal meetings, and route the selection for approvals.
    • Review delivery documents to insure accurate and timely preparation.
    • Prepare and manage written communications with internal and external vendors request documentation for contracts, proposals, add services and other duties assigned by Dikita management team.
    • Enter contract data into required client systems, and Dikita’s Project Management Systems.
    • Provide support for development and review of professional agreements, assist with the development and review of the front-end bidding documents and make required changes according to Procurement requests.
    • Assist in preparation of Board Documents as requested by Dikita PMF management.
    • Ensure that all documents are secured in Document Controls.
    • Monitor district’s program systems (SharePoint and Oracle) daily to ensure documents are being processed timely for the purpose of obtaining a Purchase Order.

     EDUCATION, QUALIFICATIONS, AND EXPERIENCE

    • BS degree in business administration, contracts, or related field; relevant experience may be considered in lieu of a degree.
    • Must be able to operate independently, using his/her/their own technical and professional experience and knowledge in all areas of contract administration.
    • Must possess a clear understanding of project management and work effectively with an integrated project team.
    • Must have experience with various contract types.
    • Must have a strong working knowledge of professional and construction services.
